How we collect, use, store and disclose your personal information when you ask us for a quote, book a move, call us, or visit our website.

In this policy, “we”, “us” and “The Pink Truck Removalist” mean [REGISTERED ENTITY NAME], ABN [ABN], trading as The Pink Truck Removalist — a women-owned removals business based in Spotswood, servicing Greater Melbourne.
This policy applies to our website, our online booking and quoting portal, our phone line, our social media pages, and to the information we handle when we carry out a move for you.
We handle personal information in accordance with the Privacy Act 1988 (Cth) and the thirteen Australian Privacy Principles (APPs) set out in that Act.
The Privacy Act contains an exemption for businesses with an annual turnover of $3 million or less. We do not rely on that exemption. We apply the Australian Privacy Principles to everything we do, because we are asking you for your home address, your moving date, and details of what you own — and that deserves the same care a larger business is legally required to give it.
Where other laws apply to us, we comply with those too, including the Spam Act 2003 (Cth), the Do Not Call Register Act 2006 (Cth), the Australian Consumer Law, and the Surveillance Devices Act 1999 (Vic).
We only collect information that we actually need in order to quote a move, carry it out, and account for it afterwards. What we collect depends on how you contact us.
Our online quoting and booking portal is hosted at thepinktruckremovalist.move.pro and is embedded on the booking page of our website. When you use it we collect:
The portal is operated for us by Movepro Software Pty Ltd (ACN 684 991 697), an Australian company whose servers are located in Australia. When you use the portal, Movepro’s own privacy policy also applies to the information you enter there. Movepro processes that information on our behalf and under our instructions.
We advertise on Google. Some of our ads include a lead form you can fill in without leaving the search results page. If you submit one, Google passes us the details you confirm — typically your name, email address, phone number and postcode, together with the moving details you enter.
We use lead form details for one purpose: to contact you about the move you enquired about.
Our contact and enquiry forms collect your name, email address, phone number and your message. Our website runs on WordPress; form submissions are stored in the website database and emailed to info@thepinktruckremovalist.com.au.
When you call 1300 746 587 we collect your phone number and whatever you tell us about your move.
We record calls. You will hear a notice at the start of the call telling you so. We record calls to confirm the details of quotes and bookings, to resolve disputes about what was agreed, and to train our team.
If you do not want to be recorded, tell us at the start of the call and we will end the recording and take your details another way, or you can email or use the booking portal instead.
Recordings are treated as confidential and are kept for [RETENTION PERIOD] before being deleted, unless a recording relates to an unresolved dispute, an insurance claim or a legal proceeding.
Our crews take photographs during a move. These are working records — they show the condition of your furniture before and after transit, how items were wrapped and secured, access points and parking, and any pre-existing damage.
Photographs can incidentally show the inside of your home and, occasionally, people who are present.
We use these photographs to protect you and us in the event of a damage claim, and for nothing else. We do not publish, post or use a photograph taken during your move for marketing without your express permission, and we never publish one that identifies your address.
We collect the information needed to invoice and take payment for your move. Card payments are processed by [PAYMENT PROVIDER]; we do not store full card numbers. For bank transfers we hold the remittance details you send us. Invoices and receipts are retained as financial records.
Our website uses cookies and similar technologies. Some are necessary for the site to work; others help us understand how the site is used and measure our advertising.
Through them we may collect your IP address, approximate location, device and browser type, the pages you view, how long you spend on them, and the search term or ad that brought you to us.
You can control cookies through your browser settings. Blocking cookies may stop parts of the booking portal working properly.
If you leave a review on Google or post about us on Facebook, Instagram, TikTok or YouTube, that content is public and is governed by that platform’s own terms and privacy policy, not by ours.
We may read, respond to, and — with your permission — quote a review on our website or in our advertising.
If you apply to work with us we collect your contact details, work history, right-to-work evidence, driver licence details and referee comments. We may carry out background or licence checks with your consent.
We keep unsuccessful applications for [PERIOD] and then destroy them, unless you ask us to keep them on file.
Sometimes a move is arranged by somebody else — such as a real estate agent, property manager, family member, aged care provider, support coordinator or case worker.
In that case we collect your details from them. If we do, we will tell you at first contact who gave us your details and why.
“Sensitive information” has a specific meaning under the Privacy Act. It includes health information and information about a person’s racial or ethnic origin, religious beliefs, sexual orientation or criminal record.
We do not ask for sensitive information as a matter of course. We may collect a limited amount of it, with your consent, where it is genuinely necessary to move you safely and lawfully.
Sensitive information is used only for the purpose you gave it to us for and is disclosed only to the people who need it to carry out their work.
Our booking portal saves your progress as you go, so you can leave and come back without starting again. This means that if you enter your details and then stop before finishing, we may still hold the information you entered up to that point.
Where you have given us contact details, we may contact you once or twice to ask whether you would like help finishing the quote. If you would rather we did not, tell us and we will delete the partial quote.

Opting out of marketing does not stop the operational messages you need, such as quote confirmations, arrival times, invoices and receipts.
We never sell, rent or trade your personal information, and we do not share it with third parties for their own marketing.

Your quote and booking information is held in Australia. Movepro Software Pty Ltd, which operates our booking portal, states that its servers are located in Australia.
However, some general-purpose services we use are provided by companies with global infrastructure, and information may be stored or processed outside Australia as a result.
Before disclosing personal information overseas, we take reasonable steps to ensure the recipient handles it consistently with the Australian Privacy Principles.
Some of our clients need their move kept private because of their work, their profile or their personal safety.
Where you ask us for a confidential move, we will not disclose your pickup address, delivery address, identity, inventory or moving schedule to any third party who is not directly involved in carrying out the job.
We will not post about your move on social media or use it in marketing without your permission.
We hold personal information in our booking portal, email system, accounting software, and in paper form such as job sheets and signed inventories.

No system is completely secure. We cannot guarantee the security of information you send us over the internet, but we take reasonable steps to protect it from misuse, interference, loss, and unauthorised access, modification or disclosure.
When we no longer need personal information for any purpose for which we may use or disclose it, and we are not required by law to keep it, we destroy it or de-identify it.
If we become aware of a data breach involving your personal information, we will contain it, assess it promptly, and follow the process set out in the Notifiable Data Breaches scheme.
Where a breach is likely to result in serious harm to you, we will notify you and the Office of the Australian Information Commissioner as soon as practicable and tell you what happened and what you can do about it.
You can ask us for a copy of the personal information we hold about you, and you can ask us to correct anything that is wrong, out of date, incomplete or misleading.

Our services are directed at adults. We do not knowingly collect personal information from anyone under 16. If you believe a child has given us their personal information, contact us and we will delete it.
Our website links to and embeds content from other sites, including our booking portal, Google, YouTube and our social media pages.
This policy does not cover those sites. We are not responsible for their privacy practices and encourage you to read their policies before giving them your information.
We review this policy at least once a year and whenever we change how we handle personal information.
